ICASSP 98 is starting a new paper submission procedure. There will be only one full-paper submission. Accepted papers will be published as they are. Your camera-ready paper MUST NOT EXCEED 4 PAGES. It MUST comply with the instructions provided herein and must be RECEIVED (not just postmarked) by the Conference Management AND through electronic submission no later than November 3, 1997. If the layout instructions are not followed, or if your material is not received by November 3, 1997, your paper will be automatically rejected. No papers will be accepted by e-mail or fax. GENERAL INSTRUCTIONS The IEEE Signal Processing Society has decided on a new paper submission procedure for ICASSP 98. There are a few changes compared to previous ICASSPs: 1. There will be only one submission, due November 3, 1997. This submission will include the full-paper, which will be published without modification if accepted. That is, there will be NO revisions on accepted papers. 2. Prospective authors will be able to complete the paper cover sheet electronically. This procedure will generate instant confirmation, and will save us the time of having to re-enter all that information in a database. It will reduce costs, processing time and errors. 3. The process of submitting a postscript file for your manuscript will let authors verify the quality of the file that will be included in the CD-ROM. Your paper must be received on or before November 3, 1997. This does not mean postmarked; it means in the conference office. Please mail your paper in a large envelope with a cardboard to prevent bending. Do not fold your paper to fit a standard envelope. You should also complete the electronic submission of the Cover Sheet and postscript file before Novemeber 3, 1997. As usual, ICASSP has the following submission policy: . No papers will be accepted by fax. . No individual may appear as an author on more than three paper proposals. . No individual may appear as the first or sole author on more than one paper proposal. . No papers will be accepted after Nov, 3, 1997 . Paper proposals not including the Paper Cover Sheet will be rejected without review. . Papers exceeding 4-page long will be rejected without review. . Papers from authors who failed to present an accepted paper at ICASSP-97 without justification ("no shows") will be rejected without review. You can obtain all the author kit information via WWW or FTP. In most cases, the information on WWW or FTP is more up-to-date, so you are encouraged to use them. To access ICASSP 98, you just need to use your browser to access the official ICASSP 98 web site http://icassp98.microsoft.com. It also contains important information for electronic submission, registration, exhibition, tutorial and other ICASSP-98 information which authors are encouraged to use. You can also retrieve most information by using anonymous FTP at our FTP server ftp://icassp98.microsoft.com using your email as password. Then "cd icassp98/akit" where most of information are stored as postscript format. In summary, these are the steps to submit a paper: 1. Read the Paper Preparation and Abstract Preparation in Chapter 2-4 first, regarding the format of your paper. In general, the format is the same as past ICASSPs. Likewise, we also provide templates for Word and LaTex. 2. Prepare a CAMERA-READY paper, at most 4 pages long, including figures and references, and find an appropriate subcategory from the Paper Categories (Appendix 10.1) for your paper. 3. Do Electronic Submission of the Paper Cover Sheet. If the electronic submission is not successful, you need to fill out the Paper Cover Sheet (Appendix 10.2) manually and prepare a floppy disk (Chapter 7) containing the Cover Sheet information and the abstract of your paper. 4. If you succeed at Step 3, FTP the postscript file of your full paper to the ICASSP 98 server. 5. Fill out one copy of the Copyright Form (Appendix 10.3). 6. Mail the following package in a large envelope with a cardboard to prevent bending: a) 1 Copyright form, b) 6 hard copies of your full paper, with one Paper Cover Sheet on top of each copy, c) the floppy disk if your electronic submission is not successful. The package has to be received by the conference office on or before November 3, 1997. INSTRUCTIONS FOR PAPER PREPARATION 1. All manuscripts must be in ENGLISH. 2. Your paper must be no longer than four (4) pages. It may be shorter, but papers with pages in excess of four will be rejected without review. There will be ABSOLUTELY NO EXCEPTION to this rule. 3. Use Times-Roman font for your papers because it is one of very few fonts which will look good both on paper and screen. Avoid using fonts like Helvetica which are hard to read on paper, or fonts like Computer-Modern (commonly used with Donald Knuth's TeX typesetting language) which are hard to read on the screen. To achieve the best viewing experience both in the Proceedings and the CD-ROM, we strongly encourage you to use Times-Roman font (both our LaTex style file and Word template files are using Times-Roman). In addition, this will contribute to give the proceedings a more uniform look. 4. If your paper was written using Microsoft Word, Word97 and Word95 template files that produce the proper format are available on the WWW http://icassp98.microsoft.com/akit/sample.htm or through FTP at ftp://icassp98.microsoft.com 5. If your paper was written using LaTeX, a style file that produces the proper format is available on http://icassp98.microsoft.com/akit/sp_conf.sty or through FTP at ftp://icassp98.microsoft.com 6. To be included in the Proceedings, your paper must be in the following format: . Single-spaced . Two (2) columns . Printed or typed in BLACK ink . No smaller than nine (9) point type throughout the paper, including figure captions. In nine point type, capital letters are 2 mm high. 7. Number the pages (1...4) in in LIGHT ERASABLE LEAD PENCIL at the extreme TOP RIGHT of each page. Write in small characters so that the page number will not overlap the text region of the page. This is necessary, since your page number must vanish before scanning your paper for the printer. 8. Any text or other material outside the following margins WILL NOT BE PRINTED--NO EXCEPTIONS: . All text figures must be contained in a 175 mm x 226 mm (6.9 inch x 8.9 inch) image area. . The left margin is to be 19 mm (.75 inch). . The top margin is to be 25 mm (1.0 inch). . Center each page within this image area in a two-column format. . Follow the style of the sample paper that is included with regard to title, authors, addresses, abstract, heading, and subheadings. Page numbers, session numbers, and conference identification will be inserted by the printer. 9. Print/type the paper on 8.5 inch x 11 inch (216 mm x 280 mm) WHITE paper or A4 WHITE paper, following the exact margins described in this kit. These margins are the same as on the enclosed sample paper. The sample paper provides an example of how your paper should look. 10. Your first or title page should have the paper title, author(s), and affiliation(s) centered on the page across both columns. The remainder of the text must be in the two-column format, staying within the indicated image area. 2.1. Additional Instructions 1. The use of a dot-matrix printer is strongly discouraged, but if this is your only option, print out an enlarged image of your paper and then photo-reduce it to the proper size. 2. If you have halftone figures, either print them out as part of the paper OR attach an ORIGINAL figure at the appropriate place. Please: Use wax or a glue stick if such a procedure is necessary. All 6 copies of your manuscript should contain original photographs (glued on) where appropriate. 3. For 9 point type, there should be no more than 3.2 lines/cm (8 lines/inch) vertically. This is a minimum spacing; 2.75 lines/cm (7 lines/inch) will make your paper much more readable. Larger type sizes require correspondingly larger vertical spacing. 4. Paper Title - The paper title is to appear in CAPITAL LETTERS, boldface if possible, centered across the top of the two columns on the first page as indicated above. 5. Authors' Name(s) - The authors' name(s) and affiliation(s) appear below the title in capital and lower case letters. You should include a mailing address here if space permits. The template in the Author's Kit indicates the image area where the title and author information should go. These items need not be strictly confined to the number of lines indicated; papers with multiple authors and affiliations, for example, may require two or more lines for this information. However, the placement of the title should be immediately below the top line. 6. Abstract - Each paper should contain an abstract of about 100-150 words that appears at the beginning of the paper. The same text will be used for the Conference Guide abstract which is to be filled electronically along with Paper Cover Sheet. 7. Major Headings - Major headings appear in CAPITAL LETTERS, bold face if possible, centered in the column. Examples of the various levels of headings are included in this sample paper. 8. Sub Headings - Sub headings appear in capital and lower case, either underlined or in boldface. They start at the left margin on a separate line. 9. Sub-Sub Headings - Sub-sub headings appear in capital and lower case, indented like a paragraph and on a separate line. They may be underlined or in italics. 10. References - List and number all references at the END of the paper. Number the references in alphabetic order. When referring to them in the text, type the corresponding reference number in square brackets as shown at the end of this sentence [1]. [1] D. E. Ingalls, "An Important Paper", IEEE Trans. ASSP, vol. ASSP-36, pp. 1932-1948, 1988. 11. Illustrations - Illustrations must appear within the designated margins, and must be furnished positioned within the paper. They may span the two columns. If possible, position illustrations at the tops of columns, rather than in the middle or at the bottom. Caption and number every illustration. All halftone illustrations must be clear black and white prints. Line drawings may be made in black ink on white paper. DO NOT USE ANY COLORS IN ILLUSTRATIONS. 12. WWW URL links - Due to the extreme low submission of accompanied audio/video files for CD-ROM publishing for past ICASSP (fewer than 2% of authors used this option), ICASSP 98 decided not to continue it. Instead, you are encouraged include the WWW URL address in your paper and/or abstract to refer to any online information related to your paper, like accompanied audio/video files, links of relevant publications and demos. The URL link information allows authors to share proper and updated information with viewers. We believe this is one positive change towards ultimate multi-media ICASSP publication. 13. Layout Specifications - You should submit up to four (4) 216mm wide x 280mm high (8-1/2" x 11") pages that will be printed exactly as received, without any reduction. A4-size paper is also acceptable for your submission; keep the top and left margins as specified. Detailed size specifications for the layout are given below. 14. It is important that your printer produce clean, high-quality output, since there will be no sharpness-enhancing reduction of what you provide. If a suitable printer is not available, you can type or print your paper at a larger size and reduce it on a photocopying machine to the specified dimensions. 15. ALL MATERIAL (text and illustrations) MUST appear within a 175mm wide x 226mm high (6.9" x 8.9") area. NOTHING OUTSIDE THIS AREA WILL BE PRINTED. The upper-left corner of this bounding box should be 19mm (3/4") from the left-hand and right-hand edges and 25mm (1") from the top and bottom of the paper. THESE MARGINS ARE SHOWN ON THE ATTACHED TEMPLATE. 16. Indicate the order of your pages by numbering them at the top right, using light erasable lead pencil. DO NOT MAKE ANY OTHER MARKS OUTSIDE OF THE SPECIFIED BORDERS. 17. Text should appear in two columns, each 83 mm wide with 8 mm space between columns. On the first page, the top 50mm (2") of both columns is reserved for the title, author(s), and affiliation(s). These items should be centered across both columns, STARTING AT 25 mm (1") FROM THE TOP OF THE PAPER, as shown in the examples. The abstract should appear at the top of the left-hand column of text, about 12mm (1/2") below the title area and no more than 80mm (3-1/8") in length. Leave 12mm (1/2") space between the end of the abstract and the beginning of the main text. 18. On the second and subsequent pages, the text or illustrations begin at the top of the page. ********************************************************************** 3. If your paper was written using LaTeX, a style file that produces the proper format is available at ICASSP 98 web site (http://icassp98.microsoft.com/akit/sp_conf.sty). ABSTRACT PREPARATION INSTRUCTIONS Your abstract is due at the same time your paper is due -- November 3, 1997. ABSTRACTS RECEIVED AFTER THIS DEADLINE OR NOT FOLLOWING THE FORMAT BELOW MAY RESULT IN REJECTION. 1. Abstracts must be no longer than 150 WORDS. 2. The abstract should be sent in standard ASCII -- do NOT use any non-ASCII characters. 3. You can include the WWW URL address in your abstract to refer to any online information related to your paper, like accompanied audio/video files, links of relevant publications and demos. ICASSP-98 will publish paper abstracts in searchable form on the CD-ROM proceedings and also on the World Wide Web (WWW). Abstracts will not be made available on the WWW until March 1998. ********************************************************************** 5. ELECTRONIC SUBMISSION OF COVER SHEET Starting ICASSP-98, prospective authors will be able to complete the Paper Cover Sheet electronically (http://icassp98.microsoft.com/akit/general.htm). You are strongly encouraged to use this method so that all your material is available to us in electronic form. This will save us the time to re-enter all the data into a database, and it dramatically reduces the chances of errors in generating the indices, Final Program and Conference Guide. When you enter a new paper proposal, you will be requested to enter the information requested in the Paper Proposal Cover Sheet as well as the Abstract of your paper. At that time you will be assigned a paper number. It is very important that you write down this paper number, since you will need it for all further processing. If you make a mistake, or want to double-check your entry, you can update an existing paper proposal. After you complete this process you will print a paper copy of the electronic Cover Sheet. You are STILL REQUIRED to mail the 6 copies of your Cover Sheet, even for those who submit their papers electronically, in addition to the copyright form. If you cannot successfully complete the Paper Cover Sheet via the web follow the instructions in Chapter 7 FLOPPY DISK PREPARATION to prepare a floppy disk with that information. If you successfully complete the electronic submission of the Paper Cover Sheet, you do not need to generate the floppy disk. ********************************************************************** 6. ELECTRONIC SUBMISSION OF THE POSTSCRIPT FILE For ICASSP96, 53% of authors submitted their postscript paper electronically, and this number grew to 83% for ICASSP97. Given the rapid growth of the internet, we expect that for ICASSP98 well over 90% of prospective authors will use this method. As in past years, the files included in the CD-ROM will be in the Adobe Acrobat (PDF) format. PDF files generated from a postscript file allow keyword searches and will also offer better quality for both screen viewing and printing. More and more attendees (over 50%) are relying on the Conference CD-ROM to access the papers, so it is important to obtain as many postscript files from authors as possible. If you didn't submit your postscript file in past years, please make an effort to do it this time. This year we will allow authors to immediately check the status of their submitted postscript files, which sometimes could have errors dues to an aborted ftp session or a data transmission error. Our system will automatically convert each incoming postscript file to a PDF file, allowing authors to check not only that the transmission was correct, but also that the conversion to PDF was successful. Please follow instruction in the ICASSP 98 web site for electronic submission of your postscript file for your manuscript. To submit a paper proposal for ICASSP-98, we ask you to take the following steps: 1. Create an Electronic Version of your manuscript (full paper): . Follow the instructions in Chapter 2 " Instructions for Paper Preparation". . The file must be in postscript format. . Check that the pages are in correct order (NOT reverse order). This is not important if you print it, but VERY important for an electronic document. . After generating the file, test it by sending it to your printer, and proofreading the output. . Follow the naming conventions for your paper. Your postscript file will be XXXXYYYYY.ps, where XXXX is your paper number and YYYY are the 4 alphanumeric characters assigned to you as a password. It is very important that you follow the correct naming conventions for your postscript file or else it will not be recorded. For example use 1356A2F5.ps if your paper number is 1356 and your password is A2F5. 2. FTP your postscript file. You can do that by using anonymous FTP at our FTP server icassp98.microsoft.com using your email as password (You will have write-only access). Then "cd icassp98/in" and "put XXXXYYYYY.ps" 3. Check the status of a postscript file. Your postscript file will be automatically converted to a PDF format, which you can print and verify for correctness. If the paper appears to be the way you desire, you will enter "yes" to confirm, so that we will use the electronic version for conference Proceedings and CD-ROM; otherwise, you will enter "no" to inform us that the paper version you mail will be used for conference Proceeding and CD-ROM. ********************************************************************** 7. FLOPPY DISK PREPARATION INSTRUCTIONS If you CANNOT complete the electronic Paper Cover Sheet and abstract via our web site, you need to prepare a floppy disk containing the cover sheet information of your paper in one single file "cover.txt" in one of the folowing 4 formats: 1. MSDOS 1.44MB 3.5 inch format 2. MSDOS 1.2MB 5.25 inch format 3. MSDOS 360kB 5.25 inch format 4. Macintosh 3.5 inch format Each floppy disk must be clearly labeled with the following information: a) the conference name: ICASSP 98 b) first author's surname (family name) c) the paper title, e.g. "A DSP based Filter Bank" d) the format of the floppy disk, e.g. "MSDOS" or "Mac" Your floppy disk must only contain the cover sheet and abstract information of your paper (unconditionally) in a file named "cover.txt" according to the format specified in this chapter. If you have completed the Paper Cover Sheet through our web site succesfully, you do NOT have to do prepare and mail the floppy disk, and can go directly to Chapter 8. 7.1. Format Details "cover.txt" contains fields that by default span only one-line. Those fields that take several lines will have the prefix Begin and End. For example: BeginProblemDescription and EndProblemDescription. The complete format of "cover.txt" is as follows.
